Time And Leave Reporting

Welcome to the secure web-based Time & Leave Reporting System.

The Time & Leave Reporting (TLR) system is an electronic time recording system that's designed for use by both overtime eligible and overtime ineligible college employees. Most classified, part-time hourly/temporary, and workstudies (student employees) are overtime eligible and must record all hours worked in TLR. Administrators, classified, exempt, and full-time faculty also use TLR to report the leave they have taken.

How to login to TLR
Access TLR with your SID number and PIN to login to the secure site. The direct link to TLR is https://webapps.lwtech.edu/TLR/. If you need help logging into the site, call Payroll Services at (425) 739-8214.

Submission Dates
You must submit TLR timesheets twice a month on the 15th and last working day of the month. If those days fall on a regular day off or a weekend, you must submit your timesheet on your last working day before the due date. If you're unsure of the submission dates, view the due date calendar:

Late submissions
Failure to submit a timesheet to your supervisor and/or to Payroll Services can cause a delay in receiving a paycheck. Payroll Services will process and pay late timesheets that aren't submitted by the deadlines on the next pay cycle.

Timesheet status

If the status of the timesheet is...

This means...

"In Process"

The timesheet was not submitted to the supervisor and is still in process by the employee.

"Awaiting Supervisor Approval"

The timesheet is ready for the supervisor's review, but wasn't submitted to Payroll Services.

"Sent to Payroll"

The supervisor has approved and submitted the timesheet to Payroll Services.

"Processed by Payroll"

Payroll Services has processed the timesheet.

 

Who uses TLR
Overtime eligible employees:
The Fair Labor Standards Act (FLSA) requires records to be kept on total hours worked each day and each workweek for overtime eligible employees to determine when they're eligible to receive overtime compensation. By submitting your electronic timesheet you're certifying that the hours you reported accurately reflects the hours worked and the leave taken.

Overtime ineligible employees:
Overtime ineligible employees are typically exempt professional-technical, faculty, and administrative staff. Overtime ineligible employees do not report all hours worked but will use TLR to report all leave taken. These employees must input their leave hours for each pay period they have leave transactions. By submitting your leave electronically, you're certifying that the information you reported accurately reflects the leave taken.
Note: This does not include part-time faculty (PTF) unless you have an additional hourly job. Only the hours worked for your hourly job will be processed through TLR.

Who is responsible
There are 3 main layers for accurately reporting on TLR:

  • Employee.

  • Supervisor.

  • Payroll Services.

The employee has responsibility to correctly record time worked/leave taken and submit the record to their supervisor. The supervisor has responsibility to review the accuracy of information reported, approve the time record, and submit it to Payroll. Payroll has responsibility to process the approved TLR record.

Employee:
Primary responsibility for accurately recording time belongs to the individual employee. You have responsibility to ensure you record your time correctly, reflecting proper labor charges, vacation, time and absences, etc. You also have responsibility to submit your timesheet by the due dates on the Payroll Calendar. By submitting your timesheet electronically, you're certifying that the timesheet accurately reflects how your time was spent during the week.

To carry out this obligation, you must:

  • Record your time after you have worked.

  • Be accurate and precise in recording your hours.

  • Follow procedures for completing time-keeping records and correcting errors.

  • Submit your timesheet in TLR by the due dates (see the "Due dates" section for more info).

  • Above all, if you're unsure about any aspect of your obligations, don't guess...ASK!

Supervisor:
Supervisors play a critical role on TLR. The primary supervisor shares responsibility with the employee to ensure timesheet accuracy. Alternate supervisors function as backup approvers if the primary supervisor isn't available. By submitting the timesheet electronically, the supervisor is certifying that the timesheet accurately reflects the number of hours the employee worked.

Specifically, supervisors must:

  • Know where to find the budget number used to segregate time charges for their employee(s).

  • Train and ensure all employees under their supervision understand proper time reporting procedures.

  • Maintain a workplace environment that encourages honesty and makes employees feel free to ask questions if they're not sure of proper time reporting procedures.

  • Review the timesheets to ensure all employees under their supervision have the correct budget number and that the correct chain of command is listed for each work assignment.

  • Approve the timesheet by submitting it to Payroll Services, which certifies that the timesheet accurately reflects the number of hours the employee reported.
