Email Signature

Consistency application of LWTech Branding is also key. As an employee of LWTech, you are speaking on behalf of the college, and your program/department with your LWTech email. As such, personal phrases in your signature, non-approved taglines, etc. dilute the LWTech brand and experience and are to be avoided. Please refer to the following email signature examples on creating your LWTech email signature.

For accessibility, the email background must be white, email text must be black and sans-serif and your email signature should use the Blue and Yellow versions of the full size logo (never the bug).

Email Composing Default Style

When composing emails, the default font should be set to the following:

  • Font family: Arial
  • Body font size: 12
  • Signature font size: 10-12 (see below)
  • Font color: black
  • Window background color: white (always have a one plain background for accessibility)

  1. On the File tab, choose Options > Mail.
  2. Under Compose messages, choose Stationery and Fonts.
  3. On the Personal Stationery tab, under New mail messages or Replying or forwarding messages, choose Font.
  4. In the Font box, choose the font, style, size, and color that you want to use. You can see a preview of your changes as you make them.
  5. Choose OK three times to return to Outlook.

  1. Go to Outlook > Preferences > Fonts.
  2. In the Default fonts for composing messages section click the Font button next to the composition style you want to edit. For example, click Font next to New mail to select a default font for new messages, or next to Reply or forward to set a font for outgoing messages.
  3. On the Font tab, choose the default Font, Font style, Size, Color & Underline, and Effects.
  4. Click OK to save the changes.
  5. Repeat above steps for other composition types.

Creating a Signature on a PC

  1. Download and uncompress the provided Outlook Email Template file
  2. Double click the template file. This should open a new compose message window in Outlook.
  3. Select all and copy all the text and graphics (keyboard shortcuts Ctrl+a > Ctrl+c)
  4. Select Signature > Signatures from the Message menu.
  5. Depending on the size of your Outlook window and whether you're composing a new email message or a reply or forward, the Message menu and the Signature button might be in two different locations.
  6. Under Select signature to edit, choose New, and in the New Signature dialog box, type a name for the signature.
  7. Under Edit signature, paste (Ctrl+v) the copied signature text and graphics.
    *Note: should the formatting show incorrectly after you paste your signature, reformat your signature text guidelines for the text provided below.
  8. Under Choose default signature, set the following options for your signature:
    In the E-mail account drop-down box, choose an email account to associate with the signature. You can have different signatures for each email account.
  9. Choose OK to save your new signature and return to your message.

Note following these steps will ensure the graphics show up correctly and links to their respective pages. Please ensure you follow the instructions provided.

Creating a signature in Outlook on a Mac

  1. Download and uncompress the provided Outlook Email Template file
  2. Double click the template file. This should open a new compose message window in Outlook.
  3. Select all and copy all the text and graphics (keyboard shortcuts Ctrl+a > Ctrl+c)
  4. On the Outlook menu, select Preferences.
  5. Under Email, select Signatures.
  6. Double-click Untitled, and then type a name for the signature you created OR Select Add to add a new signature.
  7. In the Signature editor paste the signature text and graphics provided below.*
    *Note: should the formatting show incorrectly after you paste your signature, reformat your signature text guidelines for the text provided below. 
  8. After you are done creating your signature, close the editor window.
  9. Close the Signatures window.
